Camp Director Job Description

Employment Term: July 2 – July 31 (with extra contract hours pre/post camp season available)

Hours: Arrive at Camp each Sunday by 11:00 am. Leave Camp each Friday by approximately 5:00 pm.

  1. The Camp Director (Director) will report to the Blackstrap Youth Camp (BYC) Board of Directors through the President of the Board (President). The Director will also work closely with the Treasurer of the Board (Treasurer) on financial matters, including purchasing supplies, accounting, and banking.
  2. The Director will manage all aspects of the Camp, beginning with the recruitment and selection of qualified Counsellors, and ensure they have the proper training and instruction to carry out their assigned duties at Camp.
  3. The Camp Director will ensure adequate supplies and equipment are on hand to carry out all aspects of the Camp activities and the Camp Program in discussion with the Program Director. The Director will be aware of the budget available for these items and manage expenditures to stay generally within this budget, communicating closely with the Treasurer and the President at all times. Proper records of expenditures are to be maintained, including receipts for any expenditures, and these records and receipts are to be turned in at regular intervals, ideally every week.
  4. The Director will keep thorough records of all camper registrations, preferably in a database that contains information that can be copied or downloaded from the online registration system.
  5. The Director will oversee the development, documentation and implementation of the Camp Program in coordination with the Program Director. An appropriate variety of activities is scheduled to meet the overall objectives and mandate of BYC.
  6. The Camp Director, with the assistance of the Program Director, will be responsible for supervising all camper activities during the Camp operating period. He/she will communicate closely with the President, bringing to their attention anything of importance, including but not limited to occurrences of significant problems or issues with Counsellors, campers and parents, and the physical needs of the Camp, including buildings, equipment, food and maintenance.
  7. The Camp Director will generally be capable of working in a supportive manner with the cook, maintenance staff, Lifeguard, Program Director and other staff during the Camp operating period. They may suggest routine changes or improvements where appropriate, and bring more important or urgent issues to the attention of the President.
  8. The Camp Director will prepare a record of activities in a Camp Report, which will be shared in a form and content that will assist the Board with future planning.
  9. The Director will prepare a year-end report on all aspects of the Camp operations by the end of the contract period. The report will include a detailed accounting of Camper attendance, a detailed breakdown of revenue forgiven for sponsored campers, and a report on the physical aspects of the Camp, including buildings, equipment and supplies.
  10. The year-end report will include an evaluation of all staff and the manner in which they carried out their assigned duties. The staff portion of the report should be separate from the general Camp report and will include recommendations on counsellors ready for advancement and those who may not be recommended for re-hire (although these individuals tend to be few).
  11. The completion of the year-end report is part of the contract, and a portion of final contract pay may be withheld until the report, in satisfactory form and content, is received by the President.
  12. Personnel evaluation reports are to be sealed and addressed to the President.
  13. The Director will be aware of the Saskatchewan Camping Association standards and work toward compliance with those standards within the resources available, keeping the President aware of needs in this respect. 
  14. The Director agrees that he/she will not at any time either during the time of this agreement or thereafter, divulge to any person, firm or corporation, any information received by him/her during the course of his contract with regards to the personal, financial, or other affairs of BYC or camper participants and all such information shall be kept confidential, unless release is expressly permitted by the President.
  15. It is specifically understood that all books, notes, accounts, ledgers, computer files and documents compiled during the term of this contract and needed by BYC for its operation shall be the property of BYC. Materials related to the camp operation compiled by the Director on his/her own time will be the property of BYC.
  16. The Camp Director, in association with the Program Director, is responsible for hiring counsellors and volunteers for Blackstrap Youth Camp using either an in-person interview format or an online format. The Camp Director could request, where available, that a cover letter and/or resume from each candidate be provided on a job offer as soon as possible. The Camp Director will be responsible for ensuring all staff have adequate documentation for criminal record check, First Aid training, social insurance number and contact information for health and safety purposes.
